Responsibilities:
Our incoming operations specialist has responsibility to:
  • Oversee operations protocols and systems, including arrival and dismissal, security, student records (attendance, grades, report cards, transcripts), health, nutrition, maintenance, and technology.
  • Maintain accurate schedules, calendars, resources, records, and data in Blackbaud and School Pass.
  • Oversee the regular operation and maintenance of the physical plant, including coordination with the facilities team and the school’s fire and safety compliance.
  • Represent the school in our partnership with the food service team, coordinating monthly menu, daily operations, compliance, and reimbursement.
  • Serve as the liaison with health providers to ensure student health needs are met.
  • Coordinate communication regarding required documentation needed for new and returning students (health forms, bussing, after-school activities, etc.) to ensure smooth onboarding and start to the year.
  • Coordinate room setup and cleanup, technology needs, and food and beverage for school events (e.g., Blazer Ceremony, Friendsgiving, high school fair, Renaissance Day, Homecoming, graduation, Family Connection Meetings, Celebrations of Learning, and board meetings)
  • Support admissions outreach and overall school operations

Qualifications:
  • BA/BS degree in relevant field is preferred but not required
  • At least three years of relevant experience, ideally in a K-8 school environment.
  • Strong communication, organizational, and group management skills.
Compensation:
Harlem Academy offers professional development opportunities, benefits, 10 weeks of paid vacation, and salary from $55,000 to $65,000 based on experience and demonstrated skills.
